WSA Parent Communication Pathway
Lane 3: Operations and Information
Use this pathway when you need an answer, clarification, document, schedule, or administrative solution. Choose the subject below to reach the person responsible for that area.
Before you continue
Make sure Lane 3 is the right pathway
Could an athlete be unsafe or at risk of harm?
Do not use the ordinary information process. Report the concern immediately through Lane 1.
Is this about an athlete’s experience?
Training, games, confidence, playing time, position, relationships, coaching methods, roster placement, or return to play belong in Lane 2.

Step 2 — Choose the program
Program structure helps determine the right contact
Youth Academy routing
Begin with the closest responsible contact
- Team schedule, attendance, game format, equipment, or routine team logistics: Coach or Academy contact.
- Registration, invoices, payment plans, financial assistance, or documents: Registrar or club administration.
- Uniform ordering, sizing, exchanges, or delivery: Uniform and Apparel contact.
- Program structure, tryouts, policies, or unresolved cross-team questions: Youth Academy Director.
Competitive Program routing
Match the subject to the responsible role
- Team-specific information: Coach.
- Schedules, TeamSnap, routine travel, tournament itinerary, and logistics: Team Manager or Team Success Advocate.
- Registration, eligibility, billing, payment plans, or financial assistance: Registrar or club administration.
- Uniforms, apparel, sizing, exchanges, or club shop orders: Uniform and Apparel contact.
- Competitive Program policy, tryouts, team formation, or a cross-team matter: Competitive Program Director.
National Program routing
Use the National Program’s specialized contacts
- Team schedule, training, match details, or routine travel: Coach or Team Manager.
- Registration, eligibility, invoices, payment plans, or uniforms: Registrar or club administration.
- Weather, tryouts, program policy, league structure, or cross-team operations: National Program Director.
- College recruiting, showcases, player profiles, video, or promotion: College Pathway contact, coach, or National Program Director.
- National or regional event itineraries and hotel logistics: Team Manager, Team Success Advocate, or designated travel contact.
Step 3 — Contact the responsible role
Choose the subject of your question
Billing and Financial Assistance
Club administration or financial-assistance contact.
Weather and Facilities
Current alerts, facility information, and club policies.
Tryouts and Program Policy
Club administration or the appropriate Program Director.
Travel and Tournaments
Team Manager, Team Success Advocate, or event contact.
Forms, Policies, and Club Events
Parent Resource Center, club administration, or event contact.
Step 4 — Send a clear question
Include enough information for a useful answer
Include
- Parent and athlete name
- Program, team, and birth year
- The exact question or requested action
- Relevant date, event, invoice, order, or form
- Any deadline affecting participation
Avoid
- Sending the same question to several people at once
- Combining unrelated subjects in one message
- Leaving out the athlete or team information
- Using a public post or parent group to resolve the matter
- Including private information about another athlete
Step 5 — Allow response and follow through
The goal is an answer, resolution, or clear handoff
- Contact one responsible role. Use the directory above and the communication channel provided by WSA.
- Allow a reasonable response period. For most questions, allow up to two business days. If a deadline is approaching, state it clearly in the subject and message.
- Follow up respectfully. Reply to the same message thread so the context remains together.
- Accept a clear handoff. If the first person is not responsible for the subject, they should identify or connect you with the appropriate contact.
- Escalate unresolved service issues. If three respectful attempts have been made and seven calendar days have elapsed without an answer or handoff, contact the appropriate Program Director or club administrator with the earlier correspondence attached.
WSA member-service standard: Families should know where to go, questions should receive timely and professional answers, and inquiries should be followed through to resolution or a clear new point of contact.
When Lane 3 becomes another lane
Operational questions can reveal a different concern
Move to Lane 2
Use Lane 2 if repeated operational failures are now materially affecting the athlete’s participation, development, confidence, team experience, or relationship with the coach and require a coach-led solution.
Move to Lane 1
Use Lane 1 immediately if the information received reveals suspected abuse, serious misconduct, harassment, retaliation, discrimination, or a risk of harm.
Shared communication expectations
Be respectful, specific, and solution-focused
Communicate factually and confidentially. Do not recruit other parents, circulate negative narratives, post publicly to resolve an individual matter, or discuss another athlete. These expectations do not restrict good-faith safety reporting, cooperation with authorities, or protected rights.
WSA seeks to serve families through clear information, responsible handoffs, accurate systems, and thoughtful follow-through.
